POSITION DESCRIPTION:

The Commercial Purchasing Coordinator is responsible for all material orders for the Commercial division.  This includes submitting orders to vendors, managing the delivery/release of the PO and coordinating any return product.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

    • Complete all material orders for the Commercial division (all trades).  This includes placing orders into Vista, submitting to vendors and reviewing PO confirmations for accuracy.
    • Process order changes or add-ons as they occur.
    • Communicate backorders with the field and office staff.
    • Complete shop stock and non-job purchases for the company.
    • Initiate Commercial jobsite returns.  Process product returns forms and communicates to vendors.
    • Process damaged, defective, missing or back ordered products (Commercial) by communicating with appropriate vendors, and field and office staff.  Resolve issues through good communication, asking appropriate questions and determine next steps.
    • Release residential material as requested by the Project Managers.
    • Communicate with Construction Operations Manager and Purchasing Analyst on any large material or vendor issues, backorders, etc.
    • Assist in special projects for the commercial division as needed.

SKILLS AND QUALIFICATIONS:

    • Oral Communication Skills – Ability to speak clearly and professionally in normal daily interactions, as well as in more negative or challenging situations, with a variety of audiences.  Effective listening skills and follow-up communications to gain further clarification as needed.  Provide exceptional customer service in face-to-face and phone conversations.
    • Written Communication Skills – Ability to clearly and informatively provide written documentation in a variety of formats (electronically and paper documents).  Provide detailed information as needed based on specific job-related essential functions.  Presents numerical data effectively and precisely.  Ability to read and interpret written information.  Effectively communicate via electronic communications (e-mail) to both internal and external contacts.
    • Interpersonal Skills – Ability to work independently and also as a team.  Must work effectively with a team in a collaborative work setting.  Practices effective problem-solving skills, critical thinking, independent thought, and decision-making processes.  Be able to communicate and act proactively.  Communicates effectively with supervisor and other team members to properly resolve any questions or issues.  Listens to others without interrupting; keeps emotions under control, and remains professional at all times.
    • Organizational and Time Management Skills – Ability to manage tasks and priorities to get essential job functions completed efficiently and effectively.  Ability to multitask, and change job direction based on project need and urgency – prioritize tasks assigned.  Ability to meet deadlines set forth for the completion of projects.

PHYSICAL DEMANDS:

While performing the duties of this job, the employee is regularly required to:

    • Must be able to remain in a stationary position 85% of the time.
    • Constantly operates a computer and other office machines, such as a calculator, copy machine, fax, office phone, and computer printer.
    • Frequently communicates with internal staff and outside vendors and customers.  This person must be able to exchange accurate information in these interactions.
    • Frequently move about inside the office area to access file cabinets, and office machinery, and to have interactions with others within the building.
    • Occasionally move products or office materials independently weighing up to 40 pounds.

EDUCATION AND LICENSING:

    • Associates Degree in General Business or related field.
    • 1-2 years of experience with high-paced purchasing and procurement processes preferred, but not required.
    • Valid Driver’s License
